Document visualization

Document visualization places your organisation logo on the PDF that xTool generates from an invoice or credit note. The logo, its height, and its position belong to the active organisation. A subsidiary does not inherit the logo of its parent; set it again on that organisation if you need it there.

The logo is added only when xTool builds the PDF from the document data. It is not stamped onto a PDF you uploaded (for example ZUGFeRD, Factur-X, or a raw PDF). Those files are shown and sent as they are.

Open Document visualization

You need permission to update organisations. See Organisation and users.

  1. Sign in to the xTool web app and select your organisation.
  2. Open Manage → Settings → Document visualization.

The page has Logo settings on the left and a Preview on the right.

Under Logo, choose an image file.

Rule Value
Formats PNG, JPG, JPEG, WebP
Maximum size 2 MB
How many One logo per organisation. A new file replaces the previous one when you save.

A PNG with a transparent background usually sits cleanly on the page. The printed height is the value you set; the width follows the image proportions, up to the page width.

Until you click Save, the new file is used only in the preview.

Height and position

Setting What it does
Logo height Printed height in millimetres. Allowed range is 5–30 mm. The default is 25 mm. Use − and +, or type a number.
Logo position Left, Center, or Right. The default is Right.

Preview

The preview is a sample invoice. It uses your organisation name and address and example line items. It is not one of your documents.

The preview updates shortly after you change the file, the height, the position, or remove the logo. Save is what applies the settings to real documents.

Save

Click Save. xTool confirms with Document visualization settings saved.

From then on, newly generated PDFs for this organisation use the saved logo, height, and position. Documents that are already a PDF are unchanged.

  1. Click Remove logo.
  2. Check the preview.
  3. Click Save.

Generated PDFs no longer include a logo. Height and position stay saved, so a later upload uses them again.

Where the logo appears

xTool uses the logo of the organisation that owns the document.
